After the final session

Allow two additional hours to revise and submit the independent capstone using feedback from the course.

Before the course

Audience & preparation

Practice owners, clinicians, patient coordinators and marketing managers responsible for consultation demand and scheduling. No paid advertising account is required for the exercises.

Choose one service and estimate available consultation slots, collected revenue and variable delivery costs. Fictional figures are sufficient. Use test contacts in the CRM lab.

Learning objectives

  • Define a service offer, patient questions and a consultation goal the clinic can fulfill.
  • Produce a landing page and campaign brief with substantiated claims and a measurable next step.
  • Configure a FlowGenIQ pipeline with source attribution, ownership and follow-up rules.
  • Evaluate acquisition cost against collected revenue, variable cost and available capacity.
Course syllabus

Module by module

Study times are estimates for the proposed course.

01Select one service and audience90 min

Distinguish the needs of someone considering a first hair-loss consultation from those of an existing patient evaluating a laser procedure. Identify referral sources, common objections, eligibility questions and appointment capacity. Write the offer around a real consultation.

Applied exercise

Build two brief patient scenarios. Pick one and write the questions a coordinator can answer and the questions that need a clinician.

Submit

A one-service campaign brief with audience, geography, available appointments, exclusions and a measurable goal.

02Unit economics and a defensible budget90 min

Separate collected revenue, variable treatment cost, refunds, acquisition spend and fixed overhead. Work backward from a target contribution to an allowable acquisition cost. Model booked, attended and treated as distinct stages with different denominators.

Applied exercise

With illustrative figures of $2,000 collected and $900 variable cost per treated patient, reserve $700 contribution before fixed overhead. The $400 acquisition ceiling implies $75 per booking at 75% attendance and 25% treatment conversion among attendees. Recalculate after attendance falls to 60%.

Submit

A budget worksheet with assumptions, base and downside cases, and a spend ceiling per booking.

03Claims, photographs and testimonials90 min

Inventory each express or implied claim in an ad, photo pair and testimonial. Check supporting evidence, material connections, permission to use the media and what the reader may infer. Review the FTC and HHS resources when preparing a clinic-specific approval process.

Applied exercise

Audit a fictional ad promising guaranteed regrowth under a cropped before-and-after pair. Rewrite the message, specify image conditions and list what the reviewer must substantiate before release.

Submit

An annotated creative brief with revised copy, substantiation records, permissions and a named approver.

04Build the landing page and intake90 min

Match the search intent to the heading, clinical explanation, proof, consultation terms and one primary action. Decide which fields are necessary for initial contact. Route clinical details to the appropriate private intake process and specify a confirmation message.

Applied exercise

Wireframe a hair consultation or laser assessment page. Walk through it on a phone, test an invalid email and an optional callback, and verify the confirmation accurately describes the next step.

Submit

A mobile-first page draft, short form specification and a completed form-quality checklist.

05Channel planning and attribution90 min

Compare local search, clinician referrals, patient education and paid search by intent, cost and lead time. Assign a consistent source and campaign name. Reconcile direct bookings, repeat visits and leads touched by multiple channels without counting the same patient twice.

Applied exercise

Create tagged links for two channels and a referral intake code. Trace three simulated inquiries, including a returning patient who clicks an ad before booking.

Submit

A channel plan, naming convention and attribution ledger that explains every assigned source.

06FlowGenIQ consultation pipeline lab90 min

Create stages for inquiry, contacted, booked, attended, treatment booked and payment verified. Assign a coordinator, next action and due date. Define deduplication, contact preferences, opt-out handling and what evidence qualifies a record to advance.

Applied exercise

Enter test inquiries from a referral, a landing form and a duplicate submission. Move one through a booking and one through a cancellation. Attach fictional payment evidence only to the completed transaction.

Submit

A working test pipeline with source history, stage definitions and a reconciliation of records to appointments.

07Coordinator conversations and follow-up90 min

Practice responding to a price inquiry, a no-show, a timing concern and a request for a diagnosis over messaging. Build a handoff that protects clinical decision-making and respects channel preferences. Assign responsibility for rescheduling and closing inactive cases.

Applied exercise

Role-play three conversations. For each, document the patient’s question, next action, owner and follow-up condition. Include a contact who declines further marketing.

Submit

A coordinator script set and follow-up rules with an escalation and opt-out path.

08Read the funnel and choose an experiment90 min

Calculate cost per inquiry, booked consultation, attended consultation and treated patient. Report collected revenue and contribution by cohort with a stated observation window. Distinguish changes in lead quality, scheduling and clinical capacity.

Applied exercise

A $1,200 campaign produces 40 inquiries, 12 bookings, 9 attendances and 3 new treated patients. Calculate the four unit costs, compare them with the budget model, and choose one change to test with a fixed budget.

Submit

A weekly dashboard and an experiment brief specifying the change, success measure, spend limit and stop condition.

Final assessment

Capstone project

Prepare a 30-day campaign for either a hair restoration consultation or a laser assessment. The clinic has twelve available consultation slots and a fixed test budget. Walk one test inquiry from ad click to attendance, then show how a verified payment is recorded and attributed.

What to submit

Submit the landing page, channel budget, approved creative draft, test CRM pipeline and weekly dashboard. Present a decision for the next month under both the base and downside scenarios.

Assessment criteria

  • Offer: the audience, clinical service, capacity and consultation action agree.
  • Creative: each material claim and image has an evidence or approval record.
  • Pipeline: duplicate inquiries, cancellations, preferences and verified payments are handled distinctly.
  • Economics: denominators, collected revenue and variable costs support the budget decision.
